Before the Web Conference
• Send out a clear and concise agenda.
- Clearly identify what is expected of the participants.
- Include web conference connection details and any special instructions.
• Send out regular reminders on the lead up.
• Ensure that the computer you are using has all the necessary software requirements:
- Latest version of Flash and Java
- VPresent software if are using Windows and plan to share your desktop
• Test your internet upload and download speeds to ensure you will have enough capacity.
• Ensure there is no conflicting scheduled event within your office that might interfere with your internet bandwidth.
During the Web Conference
• If you are a Participant, attend on time.
• If you are a Moderator, attend several minutes early.
• Web Conferencing users often use an accompanying teleconference. If this is applicable, also follow the “Teleconferencing Best Practices Guide”.
• Build your PowerPoint presentations with as few graphical images as possible. This will help Participants with slow internet speeds keep up with your presentation.
• Move slowly between applications to ensure those with slower connection speeds are still with you.
• Close down all applications on your computer that you do not plan on using during your presentation.
• If you use MSN or other IM applications, ensure it is turned off during the presentation. The last thing you want is a screen to pop up to appear as you share your computer with an audience.
• Close off your email pop ups as well if you use Outlook.
• Encourage your Participants to “Raise their Hands” to indicate that they have a question.
• Use the Send File application to send information to your audience at the appropriate times. |
